Waiting on a report?
We plan to distinguish missing reports and tax data from entries that are ready to review, so you can understand the next step.
AMAZON → RECONCILE READY → XERO
A planned Amazon-to-Xero workflow that helps you understand each settlement, review your mappings and prepare the entries behind your bank deposit.
Planned capabilities · product in developmentTHE FULL BREAKDOWN
Amazon combines sales with refunds, marketplace fees, adjustments and reserve movements. The planned settlement view brings those components together so you can see how the payout was calculated.
Review the accounting categories before posting. Your Xero records should explain the activity, not just repeat the deposit amount.
Simplified illustrative example. Tax treatment varies by business.
BUILT AROUND REVIEW
Account and tax mappings depend on your business. The intended workflow keeps those decisions visible.
Bring in available settlement data from your authorised Amazon account.
Assign sales, fees, refunds and other categories to the appropriate Xero accounts.
Check the breakdown and resolve missing information before sending entries.
Use the prepared entries to match the corresponding bank deposit in Xero.
BEYOND THE HAPPY PATH
We plan to distinguish missing reports and tax data from entries that are ready to review, so you can understand the next step.
Month-end activity and bank payout dates can differ. Period-aware reporting is part of the planned reconciliation scope.
Reserve movements affect cash available for payout. They need to be visible separately from the sales and costs behind profitability.
Reconcile Ready is in development. We plan to help prepare and review accounting entries; final bank matching happens in Xero. Regional tax support, multi-currency handling and automatic posting options will be confirmed before launch.
ACCOUNTS THAT MAKE SENSE
The planned setup will let you review how Amazon activity maps to your Xero chart of accounts. The right mappings depend on your business.
| Activity | What it represents | Illustrative destination |
|---|---|---|
| Sales & refunds | Product revenue and sales reversals | Sales and sales returns |
| Marketplace fees | Referral, fulfilment and other Amazon charges | Relevant expense accounts |
| Reserve movements | Money Amazon holds or releases | A balance-sheet control account |
| Tax amounts | Tax collected or reflected in source reports | Treatment confirmed with your accountant |
| Other adjustments | Corrections, reimbursements or other movements | A reviewed category appropriate to the transaction |
These are category examples, not prescribed account codes. The product will need complete mappings before it can produce usable entries.
TIMING & CONTROL
Sales activity, report availability and bank arrival dates can follow different calendars. We’re designing the review flow to make those differences understandable.
Sales and fees belong to their relevant reporting period.
Activity may need to be separated for monthly reporting.
The payout combines the relevant cash movements.
Period-aware summaries and reserve movements must preserve the relationship to the overall payout. The final posting approach will be confirmed as the integration is developed.
THE NEXT ACTION, EXPLAINED
These example statuses show how we intend to distinguish data readiness from posting and bank matching.
Show which report is missing and when it was last checked. A bank deposit alone does not establish that all underlying data is available.
Surface missing categories or a difference in the settlement total. The review should explain the issue rather than silently force a balance.
Inspect the breakdown and selected accounts before sending it to Xero. This status does not mean the bank deposit has been matched.
Keep a reference to the destination entry. The bank match is a separate step, completed in Xero.
